Terms of Service

These terms govern your use of DistributorBooks, an all-in-one business platform operated by DistributorBooks LLC for independent bread and snack delivery route distributors. By creating an account or using the service, you agree to these terms.

1. Who May Use DistributorBooks

To use DistributorBooks, you must:

• Be at least 18 years old
• Be an independent distributor or an employee of one, operating delivery routes
• Provide accurate account information

You are responsible for all activity under your account. Do not share your login credentials with anyone outside your authorized staff. You may grant access to employees through the built-in role-based staff management system.

2. The Service

DistributorBooks provides business analytics, route management, staff management, expense tracking, and financial reporting tools for independent distributors. Features include:

• Automated ingestion and processing of Flowers Foods Distributor Stat Reports
• Route Book dashboard with 52-week KPI tracking and year-over-year comparisons
• Expense logging and bottom-dollar profit calculation
• Staff management and payroll tracking
• Variance tracking between calculated values and distributor statements
• Route Health Score and trend analysis

Features may be added, modified, or removed as the platform evolves. We will notify you of material changes that affect your use of the service.

3. Independence

DistributorBooks is an independent third-party tool. We are not affiliated with, endorsed by, or connected to Flowers Foods, Inc. or any of its subsidiaries. DistributorBooks processes data that you provide or authorize us to import. Your use of DistributorBooks does not affect your relationship with Flowers Foods or any bakery.

4. Your Data

You own your data. All business data you enter or import into DistributorBooks — routes, expenses, staff records, financial figures — belongs to you. We do not sell, share, or use your data for any purpose other than providing the service to you, as described in our Privacy Policy.

You are responsible for the accuracy of the data you enter. DistributorBooks calculates KPIs based on the data provided — if the input data is incorrect, the calculated metrics will reflect that.

5. Account Restrictions

You agree not to:

• Reverse engineer, decompile, or attempt to extract the source code of DistributorBooks
• Redistribute, resell, or sublicense access to the platform
• Use the service for any fraudulent or unlawful purpose
• Attempt to access another user’s account or data
• Interfere with or disrupt the service or its infrastructure
• Share login credentials with unauthorized individuals

Violations may result in immediate account termination without refund.

6. Subscription & Payments

DistributorBooks is a paid subscription service. By subscribing, you agree to pay the fees associated with your chosen plan. Key billing terms:

• Subscriptions are billed on a recurring basis (monthly or annually, depending on your plan)
• Payments are processed through our billing partner (WHMCS)
• Refunds are handled on a case-by-case basis — contact support@distributorbooks.com
• Pricing changes apply to future billing periods, not the current one
• If payment fails, your account may be suspended until the balance is resolved

7. Privacy

Your privacy matters to us. Our collection and use of personal and business data is governed by our Privacy Policy, which is incorporated into these terms by reference.

8. Warranty Disclaimer

DistributorBooks is provided “as is” and “as available.” We work hard to keep the platform accurate and reliable, but we do not guarantee:

• Uninterrupted or error-free service
• That calculated metrics will match your official distributor statement exactly (variance tracking exists specifically to flag discrepancies)
• Specific business outcomes from using the platform

You should always verify critical business numbers against your official Flowers Foods statements. DistributorBooks is a tool to help you understand your business — it is not a substitute for professional accounting advice.

9. Limitation of Liability

To the maximum extent permitted by law, DistributorBooks LLC’s total liability for any claim arising from your use of the service is limited to the greater of: (a) the amount you paid us in the 12 months before the claim, or (b) $50.

We are not liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to lost profits, lost data, or business interruption.

10. Indemnification

You agree to indemnify and hold harmless DistributorBooks LLC, its owners, employees, and agents from any claims, damages, or expenses arising from your use of the service, your violation of these terms, or your violation of any third party’s rights.

11. Termination

You may cancel your subscription at any time through your account or by contacting us. We may terminate or suspend your account if you violate these terms.

Upon cancellation, your data is retained for 30 days in case you reactivate. After 30 days, your data is permanently deleted as described in our Privacy Policy.

12. Changes to These Terms

We may update these terms from time to time. If we make a material change, we will notify you by email at least 14 days before the change takes effect. Continued use of DistributorBooks after the effective date constitutes acceptance of the updated terms.

13. Governing Law

These terms are governed by the laws of the State of Georgia, United States, without regard to conflict-of-law provisions.
